Executive

Executive leader

As the Executive leader you steer the company from the CEO overview: one reporting window gives revenue, margin, service delivery, people, customers and governance on a single screen. You open the detail behind any figure in read-only mode and personally sign off budgets, purchase orders and client compensations.

Start-up guide

  1. Open the sign-in link in your invitation, then enter your work email and the password provided.
  2. If you forget your password, choose “Forgot password”, then “Send recovery instructions”.
  3. The Sign in button opens the app in this page’s language.
  4. After sign-in the CEO overview opens (sidebar entry Executive overview). The Overview tab shows Revenue, Gross margin, Orders shipped and On-time shipping, each compared with the previous period.
  5. Check the Reporting window at the top: Period is set to Quarter by default. Change it to Month or Year, or enter From and To dates, then click Apply. The window stays selected when you switch tabs or follow a link and come back.
  6. Look through the tabs: Overview, Needs attention, Finance & cash, Growth, Service delivery, People & safety, Customers and Governance & risk. A number on a tab shows how many items in that area need attention.
  7. The sidebar also contains Board pack, the same pack the Shareholders committee reads. Your access is read-only, except for the sign-offs listed on the Needs attention tab under Your sign-offs.

End-to-end workflows

Executive review: from the overview to the detail

Starts when: The start of a week or month, or the preparation of a management meeting.

  1. Open the CEO overview and set the Reporting window (Period, or From and To), then click Apply.
  2. On the Overview tab, read the Revenue, Gross margin, Orders shipped and On-time shipping cards against the previous period, and the Financial trend chart.
  3. In the Needs attention card, each signal is marked Urgent or Review; click the button next to a signal to open the tab that explains it.
  4. On Service delivery, review Performance by warehouse, Backlog & exceptions and Delivery service & carrier mix; on Finance & cash, review Receivables, Receivables ageing and the budget table.
  5. Use the link at the top of a section (Open finance, Open pipeline, Open order book, Open workforce or Open client tickets) to see the underlying records in read-only mode.
  6. Go back with the browser: the CEO overview opens again on the same tab and with the same reporting window.

Result: You know which exceptions drive the period, with the figures and records behind them, without having changed any data.

Next: Send your questions or decisions to the owners: the Warehouse manager for operations, the Finance specialist for invoicing and collections, the People administrator for staff matters.

Sign off budgets, purchase orders and client compensations

Starts when: Your sign-offs on the Needs attention tab shows a Pending count above zero.

  1. Open the Needs attention tab. Your sign-offs shows the Pending total, the split between Budgets, Purchase orders and Indemnities, and how many days the oldest item has been waiting.
  2. In the list, next to Budgets awaiting approval, click Open. Billing & Finance opens on the Budgets tab; if asked, choose a warehouse in Warehouse Scope.
  3. Review the budgets counted under Pending Approval and click Approve in the row. The message Budget approved appears and the budget leaves the approval queue.
  4. Next to Purchase orders awaiting approval, click Open. The supply chain workspace opens on the Procurement tab; switch to the Suppliers tab and click the purchase order.
  5. Check the lines and the total, then click ✓ Approve to confirm the purchase order, or click Reject and enter the reason.
  6. For a client compensation, on the Customers tab click Open client tickets, open the ticket in Support Tickets and, under Client compensation, click Approve and confirm Approve this compensation?, or click Reject with a reason.
  7. Return to the CEO overview and reload it: the Pending count in Your sign-offs goes down.

Result: Approved budgets can absorb spend, the purchase order is confirmed for the supplier, and the approved compensation shows Client compensation approved — now owed to the depositor.

Next: The Warehouse manager records spend against the approved budget and receives the purchase order; the After-sales manager follows the compensation with the client.

Prepare the board pack

Starts when: A Shareholders committee meeting or a board report is coming up.

  1. In the sidebar, open Board pack. The page Shareholders committee — board pack opens.
  2. Set the Reporting window to the period the committee will discuss and click Apply.
  3. Read Headline indicators (Revenue, Gross margin, Orders shipped, Overdue receivables); the Generated line shows when the pack was produced.
  4. Under Needs attention, use Review finances or Review governance to open the matching tab.
  5. On the Overview tab, review the Quarterly trend and Orders shipped charts, then expand Workforce and Customer base to see the aggregates and Safety posture.
  6. Use the chart toolbar to export a chart as PNG, export its data as CSV, or enlarge it for projection.

Result: You hold exactly the figures and charts the committee will see for the same period, ready for the meeting documents.

Next: The Shareholders committee reviews the same Board pack from its own account and brings its questions to you.

  2. In KPI targets, compare each actual value with its target; the status reads On track, At risk, Off track or No target.

  3. Export any chart you need with the chart toolbar (PNG or CSV).

Limits and help

Your access is read-only: you cannot create or change orders, invoices, invoice runs, prices, opportunities, shifts or warehouse settings, and you do not manage users. The only actions you take are the sign-offs on budgets, purchase orders and client compensations. For user access ask the Partner administrator; for invoicing the Finance specialist; for operations the Warehouse manager; for pipeline and prices the Commercial administrator; for staff matters the People administrator.

Common questions

Why can I not edit an order or an invoice I opened from the overview?

The executive role reads every business area but does not run it. Ask the team that owns the record (Warehouse manager, Finance specialist or Commercial administrator) to make the change.

Which period do the figures cover?

The period chosen in Reporting window, by default the current quarter, compared with the previous period. If a shared link carries an invalid period, the message This link has an invalid reporting period. The current quarter is shown. appears.

The overview says Some reporting areas are unavailable. This summary is incomplete. What should I do?

One report could not be loaded. The affected area shows a retry option; try again after a moment, and contact contact@ysendgroup.com if it persists.

Does the Shareholders committee see the same information as I do?

The committee sees the Board pack only, with aggregated figures. The CEO overview, its drill-down links and the sign-offs are reserved for you.
