Platform

  • Platform administrator — The Platform Administrator runs the YSEND platform itself: partner organisations, user accounts and access rights, platform subscriptions and invoicing, and the health and audit trail of the system. With YSEND you onboard new logistics partners, give every person the right access, bill partners for their platform plan and can show who changed what and when.
  • Administrator — The Administrator (Admin) is the platform administration role of YSEND and opens the same modules as the Platform Administrator. You create and maintain user accounts, decide who can do what through permission sets, account scopes and module access, and keep every access change traceable in the audit trail.

Warehouse partner team

  • Partner administrator — The Partner Administrator runs a logistics partner's YSEND tenant: the warehouses, the client accounts and the people who work in them. This role watches daily operations across every site, creates and maintains the partner's user accounts, onboards clients and invoices their services, and reviews the executive and board views.
  • Partner manager — The Partner manager runs the day-to-day operation of the warehouses a logistics partner has assigned to them. This role follows inbound, outbound, stock and transport on the Operations board, sets each site's order cutoff and alert thresholds, gives warehouse employees access to YSEND and decides on their leave requests.
  • People administrator — As People Administrator you run the HR side of your organisation in YSEND: the staff directory, recruiting and hiring, onboarding and offboarding, leave, monthly timesheets, shift planning and training. Everything you need is gathered in the People & workforce workspace, so warehouse managers and team leaders always work with up-to-date staff records, approved absences and validated hours.
  • Warehouse manager — As Warehouse Manager you run the day-to-day operation of your warehouses in YSEND: inbound deliveries and docks, picking waves through packing and carrier handoff, stock accuracy and your team's work and attendance. The Operations board gives you a live view of every site, so you can see what needs attention, act on it and keep orders moving to the carrier cutoff.
  • Team leader — As a Team Leader, you coordinate the warehouse floor team in YSEND. You follow the Team work queue, move picking tasks to qualified operators, handle receiving issues and internal mail, and check who is present, on the web application and on the handheld app.
  • Warehouse operator — As a Warehouse Operator you carry out the physical work on the warehouse floor: you receive deliveries, put stock away, pick batches, pack orders and deliver internal mail. YSEND guides each move by scan, so stock, locations and order statuses are updated as you work, on the web Operator Console and in the Ysend Operator handheld app.

Merchant and client

  • Client administrator — The Client Administrator manages a merchant organisation's account in YSEND: the product catalogue, inbound stock, orders, shipments, wallet and the people who use the portal. With YSEND, the Client Administrator sends stock to the warehouse, has orders fulfilled and delivered, and keeps billing under control from one workspace.
  • Client team member — As a Client team member, you follow your company’s orders and products in the Ysend Client workspace. You check order progress, download delivery documents, propose stock references and prepare product labels, and you pass every order change to the Client administrator.
  • Client account administrator — As a Client, you administer the account of a merchant company whose goods Ysend stores and ships. In the Client workspace you maintain your product references, create sales orders, follow their preparation and shipments, and keep your company's contacts and addresses up to date, with the Assistant at hand for questions.

End customer

  • Customer — As a Customer, you are the end customer of a merchant whose goods Ysend stores and ships. In the Client workspace you follow your own orders and shipments, read their status at any time and ask the Assistant about what you see.
  • Fulfilment customer — As a Fulfilment customer, you follow the orders and shipments of your own account in the Client portal. YSEND shows you each order’s status and fulfilment status, and each shipment’s carrier, ETA and tracking number. The Assistant answers questions about the records you can see.
  • Fulfilment partner — As a Fulfilment partner, you follow the orders and shipments of your own account in the Client portal. YSEND shows you each order’s status and fulfilment status, and each shipment’s carrier, ETA and tracking number. The Assistant answers questions about the records you can see.

Transport

  • Transport manager — As Transport manager, you run the transport operation in YSEND: you build and dispatch loads, plan tours for your drivers and vehicles, follow shipments until delivery and resolve transport exceptions. Your day starts on the Dashboard and continues in Transport control and Network & partners.
  • Driver — As a Driver, you deliver the stops assigned to you. In the Ysend Operator app you accept your stops, mark your arrival, capture the delivery proof and complete each delivery; on the web, My route / My stops lets you report field issues and refuelling.

Back-office teams

  • Finance specialist — The Finance role runs client billing, cash collection and partner settlements in YSEND. You issue and send invoices, record and allocate payments, approve settlements and payouts, and follow receivables and payables in the General Ledger.
  • Support agent — The Support role staffs the YSEND help desk for a logistics partner. You work two ticket books from one screen — the internal desk queue and the client tickets raised by depositors — answer clients, escalate parcel problems, open carrier claims and propose client compensation for a lead to approve. The knowledge articles and the Assistant help you answer faster and consistently.
  • Commercial administrator — As Commercial administrator, you run the commercial CRM for the clients your organisation serves: you set up each client's CRM, take leads through to won deals and keep the quotation desk ready. YSEND brings the agenda, pipeline, forecast, questionnaires and quote templates together in Commercial CRM, next to the Client book.
  • Account manager — As Account manager, you look after a portfolio of client accounts: you keep each client's record accurate, follow the account in the commercial CRM and grow it through new deals. Your work starts in the Client book and continues in Commercial CRM.
  • After-sales manager — The After-Sales Manager leads the after-sales desk in YSEND. You work the client ticket queue together with Support, decide on escalations and carrier claims, and are the approval tier for the client compensation that the desk enters. Your aim is that every client issue is answered, fairly compensated and documented from start to finish.
  • Customer success manager — The Customer Success Manager owns the relationship with a book of client accounts in YSEND. You watch each account's activity and health, agree and follow up the action plan with the client, keep support issues moving with the desk and record every client contact in the Commercial CRM. Your aim is that each client stays informed, satisfied and growing.

Executive

  • Executive leader — As the Executive leader you steer the company from the CEO overview: one reporting window gives revenue, margin, service delivery, people, customers and governance on a single screen. You open the detail behind any figure in read-only mode and personally sign off budgets, purchase orders and client compensations.
  • Shareholders committee — As a member of the Shareholders committee you oversee the company through the Board pack: headline financial indicators, quarterly trends, governance and risk, and aggregated workforce and customer-base figures for the reporting window you choose. The pack is read-only and names no individual person, customer or order.

External partners

  • Carrier — Carriers are the transport companies that deliver to and collect from the warehouse sites run on YSEND. In the Carrier portal you book dock slots at the sites you work with, follow and answer your company's dock appointments, bid on open freight tenders and submit rate proposals for review.
  • Shopper — Shoppers are individuals and businesses who buy warehouse supplies from vetted sellers on the Ysend Marketplace. With a shopper account you order and pay by card, choose home delivery or a pick-up point, follow your orders, request returns and review sellers; business accounts can also request and accept quotes.
  • Technology vendor — The Technology vendor role is for manufacturers and integrators of warehouse automation equipment, such as robots, AGVs and PLC-controlled systems, who connect their technology to Ysend. In the dedicated Device test lab you test the devices assigned to your organisation against the platform, collect the evidence of each run in a compatibility report, and publish your models, prices, spare parts, contacts and app listings to Ysend.
  • Supplier — As a supplier, you sell goods or packaging and consumables to Ysend and its buyers through the Supplier portal. You keep your offer catalog current, answer the purchase orders buyers raise to you and announce your shipments in advance. You also follow your price rank, your performance scorecard and your marketplace sales.
