Onboard a new partner organisation
Starts when: A new logistics partner (warehouse operator, carrier or fulfilment partner) has signed and must be set up on the platform.
- Open “Partners” in the sidebar and click “Onboard Partner”. The wizard opens on the “Identity” step.
- In “Identity”, enter the partner name (required), the legal entity and the partner type, then click “Continue →”.
- Complete “Address”, “Contacts” and “Service Config” (service domains, currency and settlement). These steps are optional: “Skip to Review” takes you straight to the last step.
- In “Billing Account”, decide whether to create a billing account for the partner; in “Business units”, add the partner's divisions if it has any.
- In “Team & Access”, add the partner's first user accounts and their roles; in “Pricing grid”, enable the tariff lines; in “Warehouse assignment”, select the warehouses the partner works in.
- On “Review”, check every section, use the edit buttons to go back to a step if needed, then click “Create Partner”.
- The confirmation screen lists any follow-up notices. Click “Partners” to return to the directory, where the new partner is now listed.
Result: The partner organisation exists with its contacts, services, optional billing account, first users and warehouses, and it appears in the partner directory.
Next: The partner's Partner Administrator takes over the day-to-day set-up of the organisation. You then assign the partner to a platform plan in “Economics”.
Create a user account and grant access
Starts when: A new employee, partner staff member or client contact needs to sign in to YSEND.
- Open “Access” in the sidebar; the “Users” tab opens. Click “Create a new user”.
- Enter “First Name”, “Last Name”, the email address and the “Role”. For partner roles, select the “Partner” (required) and the warehouses the person works in.
- Click “Create User”. The account appears in the list with the “Active” badge.
- Click the account to open its details and check the “Profile”, “Security”, “Sessions” and “Access journal” tabs.
- If the person needs rights beyond the role, open “Access Control”, tab “Assignments”, choose the user and the permission set, then click “Grant”.
- When the extra rights are no longer needed, return to the same tab and click “Revoke”.
Result: The person has an active account with the right role, partner and warehouses, plus any additional permission set.
Next: The user receives the sign-in instructions and starts working. Within their own organisation, the Partner Administrator or Client Administrator handles daily changes.
Bill partners for their platform plan
Starts when: A new plan must be offered, a partner subscribes, or the monthly platform billing is due.
- Open “Economics” in the sidebar and select the “Plans” tab. Click “New plan”.
- In “New platform plan”, enter the plan code, name, currency and seat billing, then click “Create draft”. The plan is listed as a draft.
- Click “Activate” on the plan row. The plan becomes active and can now be assigned.
- Open “Partner subscriptions”, click “Assign partner to plan”, choose the partner, the plan and the start date, then click “Assign”. The subscription is listed as active.
- Click “Preview bill” on the subscription to check the lines and the total in “Bill preview (last month)”.
- Click “Issue invoice” and confirm, or open “Platform invoices” and click “Issue all due” to bill every due subscription at once; a message reports how many invoices were issued, skipped or failed.
- To correct an invoice, click “Credit note” on its row, enter the amount (leave it empty for the full remaining amount) and the reason, then click “Issue credit note”. It appears under “Credit notes (avoirs)”.
- Return to the “Economics” tab to follow billed revenue, subscriptions and plan mix.
Result: Every subscribed partner has an issued platform invoice for the period, corrections are documented as credit notes, and the Economics figures are up to date.
Next: The partner organisation receives its invoice. You follow the revenue on the “Economics” tab at your next review.
Monitor system health and trace changes
Starts when: A routine daily check, an alert, or a question about who changed a record.
- Open “System” in the sidebar and select “System Health”. On the “Health” tab, check “API health”, “Readiness” and “Deep check”; each one shows “Healthy”, “Degraded” or “Unhealthy”.
- Review the “Alert rules” and the alerts raised, and click “Acknowledge” on an alert once someone is handling it.
- Select the “Audit Log” tab. In “Audit & Data Integrity”, the “Audit log” tab lists who did what and when.
- Use “Entity trails” with the “Entity type” and “Entity ID” to follow the full history of one record.
- On the “Integrity” tab, click “Run integrity check”; each check shows “Pass” or “Fail”.
- Click “Export log” when you need the records as evidence for an audit or an incident review.
Result: You know the current state of the platform, open alerts are acknowledged, and any disputed change is traced to its author and time.
Next: If a component stays degraded or unhealthy, contact YSEND at contact@ysendgroup.com with your export. Share audit findings with the Partner Administrator concerned.
