Carrier

Carriers are the transport companies that deliver to and collect from the warehouse sites run on YSEND. In the Carrier portal you book dock slots at the sites you work with, follow and answer your company's dock appointments, bid on open freight tenders and submit rate proposals for review.

Start-up guide

  1. Send an application using the matching form. If it is approved, use the invitation you receive to sign in.
  2. If you forget your password, choose “Forgot password”, then “Send recovery instructions”.
  3. The Sign in button opens the app in this page’s language.
  4. After you sign in, the «Carrier portal» opens. It is your only screen and holds every section you need: «Book a dock slot», «My dock appointments», «Booking rules», «Open tenders», «My proposals» and «Submit a proposal».
  5. Open «Booking rules» and read how the slot length follows the pallet count, which days can be booked (public holidays and closed days are set by each site) and how a request is confirmed, re-proposed or cancelled.
  6. In «Book a dock slot», click «Book a slot» and check that the sites you deliver to are offered. If the portal says that no site is open to booking from your account yet, ask the site to give your company access.
  7. Look at «My dock appointments»: bookings made by colleagues of the same carrier company, or with the same professional e-mail domain, are shared there, so each of you can see and manage them.
  8. Check «Open tenders» for lanes you can bid on, and «My proposals» for the review status of the rates your company has already submitted.

End-to-end workflows

Apply as a carrier and get access to the portal

Starts when: Your company wants to carry parcels or freight for clients of YSEND sites and does not have a portal login yet.

  1. Open the public «Enrol as a carrier» page and fill in «Carrier name» and «Contact email»; add the contact name, phone, «Countries / lanes served (e.g. FR, BE, DE)» and «Service levels (e.g. express, economy, pallet)» if you can.
  2. Click «Submit application». A thank-you message confirms that your request is in; it now waits for review.
  3. A Warehouse Manager or an Administrator reviews the application and either approves or rejects it.
  4. On approval, YSEND creates your carrier record and a Carrier portal login for the contact e-mail address, and sends an invitation to that address.
  5. Accept the invitation and sign in: the «Carrier portal» opens and you can book your first slot.

Result: Your company exists as an approved carrier and its contact person has a working Carrier portal login.

Next: The Warehouse Manager of each site decides which sites are open to booking from your account; you then continue with dock bookings and tenders in the Carrier portal.

Book a dock slot and follow it to confirmation

Starts when: You have a delivery to bring to a site for one of its clients.

  1. In «Book a dock slot», click «Book a slot». If you work with several sites, choose one in «Site».
  2. Move through the weeks with «Previous week», «This week» and «Next Week», then click a free slot on the grid.
  3. Complete the form: your company name and e-mail are filled in and locked. Select the «Client Name», enter the «Order Reference» (the reception number) and the «Pallet count»; tick «This delivery is a container» and give its size if needed, and add «Notes».
  4. If the reception number is not known for that client, a warning appears. Correct the number, or click «Continue without a valid number», fill in the «Delivery investigation» form and click «Send the investigation request».
  5. Click «Request appointment». The message «Your slot request was sent to the site.» appears and the booking is listed in «My dock appointments» with the status «Requested» (plus the «Reference to check» badge when the site must check the number).
  6. The site answers: the status becomes «Confirmed» when the slot is accepted, «Proposed» when the site offers another slot (shown as «Proposed slot»), or «Refused» when it declines without an alternative.
  7. For a «Proposed» booking, click «Accept proposal» to take the offered slot (the status becomes «Confirmed»), or, where offered, «Ask for another slot», pick a «New slot» on the 30-minute grid and click «Send request» (the status returns to «Requested»).
  8. If your plans change while the booking is «Requested» or «Proposed», click «Cancel booking» and confirm; the status becomes «Canceled» and the slot is freed.

Result: The appointment shows «Confirmed» with its site, appointment number, slot, order reference and pallet count in «My dock appointments».

Next: The site's warehouse team receives your truck at the dock at the confirmed time; you go on with your next bookings.

Bid on an open tender or submit a rate proposal

Starts when: A lane appears in «Open tenders», or your company wants to propose its rates to the platform.

  1. In «Open tenders», review each tender: its title, lane, service level and estimated monthly volume.
  2. Click «Bid» on the tender you want. The form becomes «Submit your bid», shows the «Bidding» badge with the tender name, and fills in the proposal name and service from the tender.
  3. Complete the header: «Proposal name», «Year», «Service», «Tier», «Currency» and «Max weight (kg)».
  4. Enter the price grid, one row per «Zone», «Max weight (kg)» and «Price»; use «Add row» and «Remove» to adjust the rows.
  5. To load a spreadsheet instead, open «Grid — one cell per line», paste one line per cell in the order zone, weightUpTo,price and click «Import». A draft that is still in this box must be imported or cleared before you can submit.
  6. Correct any row errors shown under the grid; the counter shows how many valid cells were read.
  7. Click «Submit bid». For rates that are not tied to a tender, click «Clear — submit a standalone proposal instead» (or start from «Submit a proposal») and click «Submit proposal».
  8. The proposal appears in «My proposals» with the status «Pending». When the platform accepts it, it becomes «Accepted» and turns into a live rate card; when a tender is awarded to another bid, yours becomes «Rejected».

Result: Your bid or proposal is listed in «My proposals» with its year, service, tier, number of cells, currency and current status.

Next: The Platform Administrator reviews the proposal or awards the tender; you follow the outcome in «My proposals».

Answer a slot proposed by the site

  1. In «My dock appointments», find the booking with the status «Proposed» and read the «Proposed slot».
  2. Click «Accept proposal» to take it, or «Ask for another slot» where offered, choose a «New slot» and click «Send request».

  4. If a proposal was rejected, prepare corrected rates and send them again with «Submit proposal».

Limits and help

The Carrier role opens only the Carrier portal. You cannot confirm, refuse or reschedule a booking yourself, and «Cancel booking» is offered only while a booking is «Requested» or «Proposed»: for a confirmed appointment, contact the site, whose Warehouse Manager also decides which sites are open to booking from your account. You cannot see other carriers' bookings or bids, create tenders or approve your own rates; tenders and rate reviews are handled by the Platform Administrator. Common questions

Why is no site offered when I click «Book a slot»?

No site you work with has opened booking to your account yet. Ask the site for access; once it is granted, the site appears in «Site».

Why do I see bookings in «My dock appointments» that I did not make?

Bookings are shared between colleagues of the same carrier company, or with the same professional e-mail domain. Each booking shows who made it and why it is shared with you, and each of you can manage it.

The portal says the slot I chose was just taken. What should I do?

Another carrier booked it a moment before you. Choose another free slot on the grid and click «Request appointment» again.

How can I change a confirmed appointment?

Once a booking is «Confirmed», the portal no longer offers «Cancel booking». Contact the site directly to move or cancel it.

When do my submitted rates start to apply?

Only after the platform accepts them. Until then the proposal stays «Pending» in «My proposals»; once «Accepted», it becomes a live rate card.
