Follow an order through to its delivery note
Starts when: A customer or colleague asks where an order stands, or a new order appears in Recent orders.
- On the Dashboard, read Recent orders: each row shows the Order Number, the customer, the requested date and the Status.
- Click a row to see it under Selected order, or click View all orders to open the Operations Workspace on the Orders tab.
- For the full record, open Orders in the navigation and select the order; its details open beside the list.
- Open the order page and read the Overview tab for the current status and delivery information.
- Open the Shipments tab to see the shipments created for the order, then the History tab to see the events recorded on it.
- Check the Charges card for the amounts billed on the order.
- Click Delivery note (PDF) to download the delivery note for your customer or your records.
Result: You know the order’s current status, its shipments and its history, and you have the delivery note as a PDF.
Next: If the order must be changed, put on hold or cancelled, send the Order Number and the reason to the Client administrator.
Review orders that need attention and hand them over
Starts when: The Dashboard shows a banner such as “3 orders need review”.
- On the Dashboard, read the banner that counts the orders needing review.
- Click Review orders: the Operations Workspace opens on the Orders tab with the Needs attention filter applied.
- Open each listed order and note what is missing or blocked.
- In Orders, switch on Needs attention or Only show slow or stuck to find the same orders in your order book.
- Read the Client work panel on the Orders page; each card explains the decision or missing data the item is waiting for.
- Send the Order Numbers and your notes to the Client administrator, who corrects, holds or cancels the order.
- Return to the Dashboard later: once the orders are handled, they leave the Needs attention list and the banner count goes down.
Result: Every flagged order is either moving again or with the Client administrator, together with the details needed to act on it.
Next: The Client administrator corrects the order data, places the order on hold or cancels it.
Propose a stock reference for a product
Starts when: Your goods carry a merchant SKU or a barcode that is not yet linked to the product in Ysend.
- Open Catalog in the navigation; the Products and references screen lists your Products.
- Select the product; its details show Specifications, Traceability and Aliases & packaging.
- In Propose a stock reference, choose the Identifier type: Merchant SKU or Barcode.
- Enter the Identifier value exactly as it is printed on the goods.
- Click Submit mapping proposal; the proposal now waits for approval.
- Ask the Client administrator to review it under References awaiting approval. Once approved, the reference appears under Aliases & packaging with the status Approved.
Result: The merchant SKU or barcode is linked to the Ysend product and listed with the status Approved.
Next: The Client administrator approves or rejects the proposal. If it shows Rejected, check the value and submit a new proposal.
