Run the daily warehouse review
Starts when: Start of the working day, or a new entry in Alerts on the Operations board.
- Open the Operations board and set the Warehouse selector to one site or All warehouses; the Sites section shows each site's open book and today's shipments.
- Read Alerts first, which are sorted most severe first, then Work queues and Backlog age to see open work per activity and how long orders have been waiting.
- Check Inbound dock for receipts waiting too long and Outbound dock for orders ready to leave and what holds them, including label failures today.
- Select a depositor in the Depositors section to filter the whole board on that client; use Show all merchants to return to the full view.
- If a site's promised ship time has changed, adjust it in Cutoff & thresholds, then use Refresh now so Pace to cutoff and Cutoff service level are recomputed.
Result: The board reflects the current situation of every site, and the late work, blocked receipts and held shipments are identified.
Next: The site's Partner Manager or Manager assigns the work; Team Leaders execute it on the floor.
Create and maintain partner user accounts
Starts when: A new colleague joins, changes job or site, or leaves the company.
- Open Manage Users and find the person with Search by name or email…; the list shows each account's role, warehouse and Active or Inactive status.
- For a new colleague, complete the Create a new user panel, choose the Role, the Partner and the Warehouse, then click Create User; the account appears with the status Active and the invitation is sent.
- To change a role or site, select the user, click Edit, adjust the fields and click Save Changes.
- If the person cannot sign in, open the account and use Reset Password, or Get reset link to obtain a single-use link that you hand over directly.
- When the person leaves, click Deactivate and enter the reason; the status changes to Inactive and all sessions are revoked. Use Reactivate if the person returns, or Force Logout All Sessions to end sessions immediately.
Result: Every colleague has exactly one account with the correct role and site, and former staff can no longer sign in.
Next: The new user signs in and follows their own role guide; a Platform Administrator handles two-factor resets and role access reviews.
Onboard a client and invoice its services
Starts when: A new depositor signs a contract, or a billing period ends.
- In the Clients area, click New Client to open Client onboarding and complete Identity, Address & contact, Commercial terms and Billing account; the confirmation Client created appears.
- Open the client record and, on the Contracts tab, click New Contract; check the client's rates on the Pricing & Rates tab.
- In Finance, open Invoice Runs and click New Invoice Run for the period; the invoices produced by the run appear in Invoices as drafts.
- In Invoices, filter the drafts, check them and click Issue; the status changes from Draft to Issued.
- Follow the money received in Payments and the client's billing position on the Billing & Finance tab of the client record.
Result: The client is active with a contract and rates, and its invoices for the period are issued.
Next: The Finance role follows payments and reminders; the Account Manager handles the commercial relationship.
Prepare the executive and board review
Starts when: A management meeting, a month end or a shareholders committee meeting.
- Open the CEO overview and set the Reporting window you want to review.
- On the Overview tab, read Needs attention and KPI targets to see which indicators are off target.
- Drill down through the Finance & cash, Service delivery, People & safety, Customers and Governance & risk tabs; Escalations & disputes lists the open escalations.
- Open the Shareholders committee — board pack and review its Overview, Finance & cash and Governance & risk tabs for the committee.
- If the CEO or committee members should read these views themselves, create their accounts in Manage Users with the Ceo or ShareholdersCommittee role.
Result: Management has a current, consolidated view of finance, service, people, customers and risk for the period.
Next: The CEO and the ShareholdersCommittee read the overview and board pack; operational follow-ups go to the Partner Manager.
