After-sales manager

The After-Sales Manager leads the after-sales desk in YSEND. You work the client ticket queue together with Support, decide on escalations and carrier claims, and are the approval tier for the client compensation that the desk enters. Your aim is that every client issue is answered, fairly compensated and documented from start to finish.

Start-up guide

  1. Open the sign-in link in your invitation, then enter your work email and the password provided.
  2. If you forget your password, choose “Forgot password”, then “Send recovery instructions”.
  3. The Sign in button opens the app in this page’s language.

  5. Open Client tickets and read the indicator strip first: Service level, Awaiting response, Owed to clients and Awaiting compensation show where the desk stands today and how much compensation is waiting for a decision.
  6. In the Desk queue, use the filter chips All, Open, In progress, Resolved and After-sales to see which internal tickets are waiting for the desk.
  7. The buttons at the top of Support Tickets open Customer care, where WeCom conversations are handled, and After-Sales Cases. The Assistant is available from the sidebar whenever you have a question about the platform.

End-to-end workflows

Work a client ticket from first reply to escalation

Starts when: A client raises a ticket from their workspace or portal, or a desk colleague creates one with Create Client Ticket. The ticket appears in Client tickets with the status New.

  1. Open Support Tickets and switch to Client tickets. Use the search field and the Status column to find the tickets with the status New or Assigned.
  2. Click a ticket to open its detail panel and read the subject, the category, the priority, the linked order or shipment and the conversation with the client.
  3. Write your answer in Reply to client and click Send. The message is added to the conversation that the client sees.
  4. If another team has to act, click Escalate, enter the Escalation reason and confirm. The ticket status changes to Escalated.
  5. If the carrier is responsible for a loss or a damage, open Carrier claim, select the Carrier, enter the Claim amount and click Create claim.
  6. If the client is owed money, have the amount entered in Client compensation on the same ticket and decide on it as described in the next workflow.

Result: The client has received an answer in the ticket conversation, and any escalation, carrier claim or compensation is recorded on the ticket.

Next: The team you escalated to follows up the escalated ticket; a compensation entry continues in the approval workflow.

Approve or reject client compensation

Starts when: A Support agent enters a compensation amount in Client compensation on a client ticket. The entry has the status Entered and shows Awaiting approval — AfterSalesManager tier.

  1. In Support Tickets, switch to Client tickets and check the Awaiting compensation indicator to see how many entries are waiting.
  2. Open the ticket and go to the Client compensation section. Check the Compensation amount, the Compensation currency, the Reason code and the conversation that justifies the claim.
  3. If the amount is justified, click Approve. The status changes from Entered to Approved and the amount is counted in Owed to clients.
  4. If the amount is not justified, fill in Rejection reason (applies to Reject) and click Reject. The status changes to Rejected and the desk can enter a corrected amount.
  5. If you entered the amount yourself, you cannot approve it: the entry shows Awaiting a second approver until another approver signs it off.
  6. Once the credit note or invoice that settles the amount has been issued, select the Reversal document kind (Credit note or Invoice), enter the Reversal document number and click Mark reversed. The status changes to Reversed.

Result: Every compensation entry is either Approved and later Reversed with a document reference, or Rejected with a recorded reason.

Next: Support informs the client of the decision through the ticket conversation.

Open and follow an after-sales case

Starts when: A complaint, a return request, a damage claim or a pricing dispute has to be tracked as a case of its own, beyond a single ticket.

  1. In Support Tickets, click After-Sales Cases.
  2. Click Open Case. In the Open After-Sales Case window, select the client, choose the Case Type (Complaint, Feedback, Return request, Damage claim or Pricing dispute) and enter a Subject and a Description.
  3. Click Open Case to save. The case is listed with the status Open.
  4. Use the tabs All, Open, In Progress, Awaiting Customer, Resolved and Closed to follow your cases as their status changes.
  5. Click a case to open its details and check its current status and description before you answer the client.

Result: The case is recorded with its client, type and description, and moves through the statuses Open, In Progress, Awaiting Customer, Resolved and Closed.

Next: A Manager or a PartnerManager assigns the case and resolves, closes or reopens it.

Limits and help

The After-Sales Manager works in Support Tickets, After-Sales Cases, Customer care and the Assistant. You cannot assign, resolve, close or reopen an after-sales case: ask a Manager or a PartnerManager. You cannot open order, shipment, stock or billing screens: ask a Customer Success Manager or a Manager for that information. You cannot approve a compensation amount that you entered yourself: another approver such as a PartnerManager or a PartnerAdmin must sign it off. Users, roles and visible modules are managed by a PartnerAdmin.

Common questions

Why can I not approve a compensation entry?

Approval is refused when you entered the amount yourself; the entry then shows Awaiting a second approver and another approver, such as a PartnerManager or a PartnerAdmin, must approve it. Approve and Reject apply to entries with the status Entered.

What is the difference between Withdraw and Reject?

Withdraw lets the desk take back its own entry while it still has the status Entered, for example to enter a corrected amount. Reject is the approver's decision and requires a rejection reason.

Can a closed client ticket be reopened?

No. Once a ticket has the status Closed, its status can no longer change and it cannot be escalated. If the issue comes back, create a new ticket with Create Client Ticket and mention the earlier ticket in the description.

Where do I see how much is owed to clients?

In Support Tickets, switch to Client tickets: Owed to clients shows the approved compensation, and Awaiting compensation shows the entries that are still waiting for a decision.
