Supplier

As a supplier, you sell goods or packaging and consumables to Ysend and its buyers through the Supplier portal. You keep your offer catalog current, answer the purchase orders buyers raise to you and announce your shipments in advance. You also follow your price rank, your performance scorecard and your marketplace sales.

  8. If you sell on the public marketplace, check Payout onboarding in Marketplace: payouts settle only once your onboarding is verified.

End-to-end workflows

Apply and get started as a supplier

Starts when: Your company wants to supply products or packaging to Ysend clients.

  1. On the Become a supplier page, choose your supplier type: Product supplier or Packaging & consumables.
  2. Enter your company, contact name, contact email and phone, and the categories you supply.
  3. Click Submit application; the page confirms with “Thank you — your request is in”.
  4. A Ysend platform administrator reviews the request; once it is approved, you receive an invitation to create your access.
  5. Sign in: the Supplier workspace opens and only your organization’s offers are shown.

Result: Your supplier account is active and the Supplier portal is your only workspace.

Next: Publish your first offers (next workflow).

Publish and maintain your offer catalog

Starts when: You want buyers to see a new product, or a price, minimum order quantity or validity has changed.

  1. In My Offers, click New offer to open the Publish an offer form.
  2. Enter SKU, Category, Name, your price to us (cost per unit), Currency (ISO), Minimum order quantity and Lead Time (days).
  3. Set Valid from and Valid until, or leave them empty for an immediate, open-ended offer, then publish; the offer appears in Offer catalog.
  4. To change an offer, select it in Offer catalog, check Offer details and click Edit, then Save changes.
  5. For many offers at once, click Bulk import, paste a CSV or choose a CSV file, review the preview and apply; each row updates the offer with the same SKU.
  6. Watch for the “Offer validity ending soon” alert and extend the validity before the offer expires.
  7. To withdraw an offer, select it, click Deactivate and confirm with Deactivate offer; buyers stop seeing it immediately.

Result: «Offer catalog» lists your offers. Enabled offers counts enabled records, not necessarily offers buyers can see: a buyer-visible offer must also be within its validity dates. Check «Active now» or «Out of window» before assuming availability.

Next: Buyers compare your offers and raise purchase orders to you; follow your rank in Competition.

Answer a purchase order and announce the shipment

Starts when: A buyer raises a purchase order to your organization; it appears in Recent orders and in Purchase Orders.

  1. Open Purchase Orders and find the order by its PO number, Expected date and Total.
  2. Click the arrow at the start of the row to see the ordered lines: product, description, Ordered and Received quantities.
  3. If you can deliver, click Acknowledge; the message “Purchase order acknowledged” confirms it and the Acknowledge and Reject buttons disappear.
  4. If you cannot deliver, click Reject, write a Reason for the buyer and confirm with Reject order; the order is cancelled for the buyer.
  5. When the goods are ready, click Submit ASN; the Shipment column then shows Notified.
  6. Open «View lines» and enter the actual positive quantity in «Ship quantity» for the first product, then «Add to shipment». Check the «Shipping» confirmation for the current session. Repeat once for each other shipped product. Adding again creates another notice line, not an edit; do not repeat a saved declaration just because the page was reopened.
  7. Later, the Received column shows what the warehouse has received against each line.

Result: The order is acknowledged, its shipment notice is Notified and the shipped quantities are declared line by line.

Next: The receiving warehouse team receives the goods against your shipment notice; the buyer then scores the order in your Scorecard.

Limits and help

Your access is limited to the Supplier portal: your offers, competition rank, scorecard, purchase orders, marketplace sales and API credentials. You cannot see other suppliers’ names, the buyers’ stock or the warehouse screens, and you cannot change a purchase order’s lines or your scores. For your account or access, contact a Ysend platform administrator; for an order, contact the buyer who raised it; otherwise write to contact@ysendgroup.com.

Common questions

Why can I not acknowledge or reject an order any more?

Acknowledge and Reject are available only while the buyer’s order is waiting for your answer. Once you have answered, the buttons disappear; Submit ASN stays available as long as the order is open and has no shipment notice.

Does the buyer see my reason when I reject an order?

Yes. The Reason for the buyer is recorded on the purchase order, so the buyer knows whether to source elsewhere or renegotiate.

Is a bulk import applied immediately?

No. The preview makes no changes. When you apply, the all-or-nothing mode writes nothing if any row is invalid, while partial mode applies the valid rows and reports the rejected ones.

Why is my scorecard empty?

Scores appear only after the buyer has scored orders from you. Acknowledge your orders and declare your shipments accurately to build your score.
